Moving to Zoom Phone: costs, number porting and rollout planning

Compare the full phone-system cost and validate call flows, number porting and support before switching providers.

A phone-system migration is a business workflow change. Begin with how calls reach your team, which numbers you must retain and what needs to happen when someone cannot answer. Then compare the required licenses and rollout costs.

What belongs in the cost comparison?

  • Required users, shared phones and calling plans.
  • Numbers, devices, usage charges and applicable taxes.
  • Contact-center features and any separate licenses.
  • Implementation, training, support and overlapping service.
  • Existing contract exit charges.

Use current written quotes for both options. Do not treat an entry-level seat price as a complete total or assume a deployment bonus is available.

Prepare number porting before cancellation

Zoom's porting guidance requires the appropriate licenses and accurate account documentation. Check the requirements for the country and number type. Follow the confirmed porting schedule and keep existing service active through the transfer. A requested date is not the same as a confirmed activation.

Test the call flows that matter

Pilot inbound and outbound calls, business-hour routing, queues, voicemail and the transfer process. Validate emergency-address configuration with the provider's setup guidance. Document the support contact and fallback for a failed cutover.

Evaluate AI and CRM features separately

List the features your team will actually use, then verify their licensing, configuration, data handling and integration requirements. Demonstrate the workflow with representative calls before promising time savings. A phone system and a contact center may require different products.
